Office Technician

Holland Engineering, Inc. (HEI) is looking for an Office Technician to join our Municipal Construction Team in our Holland, Michigan office. Candidates must have at least 3 years of related experience, hold certification as an MDOT Office Technician, and have prior MDOT document experience or training. FieldManager experience, strong written and verbal communication skills, computer proficiency, ability to multi-task, detail oriented and strong organization skills are all critical for this position.


  • Set up and maintain complete project files in FieldManager and ProjectWise
  • Track material usage in accordance with the contractors’ Material Source Lists in FieldManager and ProjectWise
  • Review/edit Inspector Daily Reports in FieldManager and ProjectWise
  • Interpret project plans, specifications, and Special Provisions
  • Prepare draft Contract Modifications
  • Prepare biweekly estimates in FieldManager
  • Review contractor payments to subcontractors
  • Prepare certification letters, substantial completion letters, final inspections letters
  • Write letters to contractors/owners and expedite resolution for various issues (i.e. deficiency lists)
  • Assist in the preparation of proposals
  • Prepare project status and other reports
  • Prepare project records for MDOT audits and/or other agencies, including internal project self-audits
  • Monitor task budgets and progress
  • Assist Project Managers with duties as assigned
  • Attend client, public, project, and staff meetings, including client progress, plan review, pre-construction, etc
  • Attend seminars and/or training classes
  • Maintain excellent client relations
  • Maintain a safe working environment


  • Minimum of three years applicable experience with FieldManager
  • MDOT Certified Office Technician
  • Computer proficient
  • Valid driver’s license
  • Work with a safety-conscious mindset
  • Successfully complete a DOT drug and alcohol test along with a background check
  • Prior MDOT document experience/training
  • Prior MDOT inspection experience preferred
